Bureau Controle Registratie Gelijkwaardigheid (BCRG)

BCRG brings CRM, documents, projects and signing together in Odoo for clearer follow-up and smoother collaboration.

BCRG manages databases and review-related processes for quality and equivalence declarations in the built environment. Its internal organisation needed stronger connections between relationship management, document flows, project follow-up and digital signing. With Odoo, BCRG gained a central platform that supports daily work with more structure, better visibility and easier access to information.

Customer profile

Bureau Controle Registratie Gelijkwaardigheid, or BCRG, has an independent role in reviewing and registering declarations used across the built environment. Through its databases, the organisation supports market participants working with energy performance, fire safety, manufacturer declarations and installation noise. In that context, careful information handling is not just an administrative concern. It is part of the core daily reality in which requests, supporting documents and internal coordination all need to come together clearly.

BCRG’s work is specialised and knowledge driven, which means the supporting office processes also need to be reliable and well structured. Relationships, files, ongoing activities and formal approvals all have to be managed without losing clarity. In a compact organisation, that requires a digital environment that does more than store data. It needs to support people in their work and create stronger links between office processes so information stays accessible and manageable across the full workflow.

Reason for change

As in many organisations with a small team, there was a growing need for one system that could bring together several supporting activities. Relationship management, documents, ongoing tasks and internal knowledge can easily develop in separate places or according to different working habits. That leads to extra searching, less transparent follow-up and a stronger dependency on individual routines.

For BCRG, building a central digital foundation became a logical step to support more consistent day-to-day operations. The choice for Odoo matched the intention to improve connected processes rather than solve isolated issues one by one. The project was aimed at practical support for daily office work, not at introducing unnecessary complexity. By combining CRM, document management, projects, signing and internal collaboration in one platform, BCRG can work in a more structured way and retrieve information more easily whenever it is needed for ongoing tasks or internal coordination.

Challenge

The challenge was not a manufacturing flow or a logistics operation, but the organisation of professional knowledge work. In an environment where files, declarations, contacts and internal communication intersect, information needs to be stored clearly and remain easy to access. Without a shared structure, differences in working methods, separate files and limited visibility of progress quickly appear. That makes daily follow-up dependent on individuals instead of on a common process that supports continuity and transparency.

BCRG also operates in a context where reliability and completeness matter greatly. Not only the content itself, but also the way documents are managed and approvals are recorded must be handled with care. Any new system therefore needed to create structure without becoming too heavy for a compact team. The digital workplace had to be practical, while still robust enough to bring together documents, agreements and actions in a controlled and understandable way.

Odoo solution

With Odoo, BCRG gained one environment where office processes connect more naturally. CRM helps organise relationships and follow-up actions, while Project and Timesheets can support clearer tracking of activities and effort. Documents and Sign make sure files and formal approvals do not remain outside the process. This creates a working model in which information and actions stay connected rather than being spread across separate tools, folders or disconnected communication channels.

The broader digital workplace was also brought into the same platform. Knowledge, Discuss, Contacts and Calendar support internal collaboration, while Employees and Skills Management offer a structured way to manage team-related information. Website provides room for the online presence, and Invoicing can support administrative follow-up. Where needed, Odoo Studio allows the environment to be adapted to BCRG’s way of working, enabling focused configuration for practical use without losing the consistency of a single integrated system.

Apps and processes

The selected apps together form a compact but broad office environment. In CRM, relationships and next steps can be structured more clearly, while Sales and Subscriptions can support recurring services and commercial or contractual follow-up inside the same system. Project and Timesheets help register and monitor ongoing work, making activities easier to follow over time. This creates a connected process from contact to execution that is easier to manage in everyday practice.

On the document side, Documents, Sign and Knowledge play an important role. They help BCRG store information more centrally, share it internally and formalise approval where required. Invoicing supports administrative processing, while Website, Contacts, Calendar and Discuss contribute to communication and coordination around the work. Thanks to Studio, screens or fields can be aligned with specific needs, helping the working method take shape inside one recognisable and manageable digital platform.

Result

The main outcome is that BCRG now has a more coherent digital workplace for its internal organisation. Processes that could previously become fragmented now have a clearer place inside Odoo. This improves information retrieval, supports more uniform follow-up and makes collaboration more transparent. For an organisation where knowledge, documentation and coordination are central, that is an important step toward more clarity and more control in daily operations across the office environment.

Part of the value is already visible in the structure of the new environment, while other improvements are expected to grow through continued use. Examples include more consistent file handling, smoother internal handovers and better visibility into open actions and related documents. The setup gives BCRG a practical foundation for supporting office processes over time without distracting from its substantive role. In that sense, Odoo becomes a base for future-ready and manageable work within a specialist organisation.
