As the organization continued to professionalize its internal operations, the need for more structure became increasingly visible. Kruger wanted an environment where information about companies, people, colleagues and documents would no longer be spread across multiple tools. By choosing Odoo, the company invested in one integrated working environment that supports consistency, collaboration and a more scalable way of managing business information across teams.

Reason for change

Before the project, Kruger used separate systems for contact registration, document storage and internal collaboration. That setup created duplicate work, fragmented information and limited links between relationship records and the supporting files connected to them. In a knowledge-driven business where notes, agreements and reports need to be accessible and reliable, those gaps reduced efficiency and made it harder for colleagues to work from the same current information.

The move to Odoo was driven by a clear wish to standardize processes and connect workflows more effectively. Relationship management was an important starting point, but HR and marketing also needed a more coherent setup. Kruger therefore looked for a solution that brings scattered processes together while remaining flexible enough to support future growth, changing needs and further digital development without adding new disconnected applications.

Challenge

The challenge was not simply to replace separate tools, but to create a practical structure across several process areas. Kruger wanted to manage companies, contact persons and internal colleagues in one consistent framework, including the relationships between them and the documents attached to each record. At the same time, the system had to remain easy to use so employees could quickly find data, update files and share information with confidence.

The implementation also required a broader scope than a classic CRM project. Employee files, recruitment, leave handling, evaluations and marketing activities all needed to become part of the same digital environment. That means Odoo is used not just as a registration tool, but as a central information layer for collaboration, follow-up and reporting. For Kruger, that combination of usability, consistency and scalability was a key requirement.

Odoo solution

The selected setup brings Kruger’s core information and collaboration flows together in Odoo. The foundation consists of a central environment where contacts, documents, user permissions and general settings are configured in a structured way. This creates a reliable workspace in which different teams work from the same data and business information is recorded consistently. It also provides a solid base for further process support as the organization continues to evolve.

Within that structure, the Contacts app plays a central role. Kruger manages business relations, individuals and internal colleagues in one place, with direct access to linked documents such as agreements, reports and notes. The project also includes guidance around synchronization of contact data with CIQS Milestones through an external connector. This creates a complete digital dossier for each relationship, instead of keeping relevant information spread across separate systems and locations.

Apps and processes

Kruger uses multiple Odoo apps that together form one connected process landscape. Contacts and Documents centralize relationship data and supporting files, while Employees, Recruitment, Time Off, Sign and Appraisals support digital HR administration. Knowledge and Fleet are also part of the setup. Together, these applications support relationship and HR processes from one environment, reducing handovers, simplifying administration and improving continuity in everyday work.

Odoo also supports Kruger’s marketing and information processes. With Email Marketing, Social Marketing and Surveys, communication and feedback can be managed more consistently, while Documents again supports the storage and organization of reports and internal files. Studio is available where the environment needs to reflect Kruger’s way of working more closely. Combined, these applications provide better control over communication , information availability and the practical follow-up of internal and external interactions.

Result

This implementation gives Kruger a stronger digital foundation for the way it works. Relationship records, documents, HR information and marketing activities are brought closer together, making information easier to find and allowing colleagues to work from the same source. The direct outcome of the project is mainly structural: less fragmentation, clearer dossiers and an environment that better fits the company’s need for dependable information in a professional advisory setting.

At the same time, the project is intended to support further improvements over time. Odoo is expected to help Kruger organize collaboration more efficiently, simplify administrative steps and execute recurring processes with more consistency. By migrating master data in a controlled way and setting up a scalable environment, the company establishes a future-ready information platform that can support additional needs and refinements without returning to a landscape of disconnected tools.
