The process doesn't stop there. The planner wants to know which tasks are still open. The sales department wants to be able to quote additional work. The administration wants to send a correct customer invoice. The customer wants to receive a clear report.
Good field service software, also known as field service software, therefore supports more than just scheduling appointments. Odoo connects service requests, planning, routes, work orders, materials, equipment, hours, customer signatures, and invoicing in a process.
In this blog, you will read what Odoo can mean for your field service. Not from a technical listing, but from the question that ultimately matters: what do you gain from it in daily practice?
The English term field service management is often used for this type of software. The solution helps with hiring, assessing, planning, executing, and following up on assignments. In a simple solution, it may only involve a schedule and a digital work order. In a more comprehensive solution, customer data, equipment, inventory, hours, contracts, and invoicing are also included.
The latter makes the biggest difference in practice. A schedule may look neat, while the information behind it is still spread across Excel files, emails, WhatsApp messages, and paper work orders. Then you mainly have a neat front for the same problem.
Good software for field service employees ensures that the technician on site has the right information and that the data they record is immediately available for planning, sales, inventory, and administration. This way, you can organize on-site service without having to re-enter the same information in multiple places.
From service request to concrete assignment
A field service assignment can arise in various ways. A customer calls, sends an email, fills out a form, or reports a problem via the helpdesk. A periodic maintenance visit can also automatically trigger a new assignment.
With Odoo, a customer can submit a service request via a website form, for example. The request is then not automatically scheduled at any random time. First, it goes to the planner as an assignment without a fixed date. They can assess, supplement, prioritize, and then schedule the request.
This is practical for malfunctions and maintenance. A customer can indicate which device is having problems, at which address the technician should be, how urgent the situation is, and which photos or descriptions are available. The planner then checks whether the address is complete, what knowledge is needed, and whether the required parts are available.
Not every request needs to immediately become an appointment. Sometimes it must first be checked whether the problem is covered by warranty. In other cases, the sales department must offer additional work or a specialist must be sought.
Also from the Odoo support an intervention at a customer can be scheduled. A question that is first handled by customer service can then proceed to a concrete assignment for the field service. Customer service, planner, technician, and administration then work with the same customer information.
Scheduling field service with time, location, and priority
The planning is the heart of field service software. A good technician planning is not just a list of names and times. The planner must also take into account availability, skills, travel time, location, urgency, and the expected duration of the work.
Odoo offers, among other things, a calendar and Gantt view for this purpose. The planner sees which assignments are open, which employees are available, and where there is space in the schedule. Unscheduled assignments remain visible, so they do not disappear into a mailbox or loose overview.
A task can be assigned to an employee, a role or function, a vehicle, or another resource. The planned period and expected duration can also be recorded. From the list of open tasks, the planner can drag a task to the right employee and the right time.
In field service planning, priorities are important. A regular maintenance visit requires different handling than an urgent malfunction at a customer who is without installation. By making priorities visible, the planner prevents an urgent report from disappearing somewhere at the bottom of a long list.
The schedule can then be published to the employee. The technician sees his tasks and can continue working from that schedule. This prevents many phone calls with questions like: where do I need to go today, what do I need to do there, and what information has the customer already provided?
The planner maintains control. Not every organization wants tasks to be assigned completely automatically. In cases of malfunctions, established customer relationships, or complex work, human assessment remains important. Software can help to get an overview more quickly, but the planner remains the one who understands the exceptions.
Planning routes with travel time included
A technician may be available on paper at 10:00 AM, but that does not mean he can also be at the next customer at 10:00 AM. The travel time between two tasks must be taken into account. Otherwise, a schedule will emerge that only seems feasible in the office.
Odoo can optimize routes based on the locations of customers and employees. It can take into account existing tasks, the location of the previous appointment, the travel time from the office or home, the available capacity, and the expected duration of the work.
The route can start from a fixed workplace, an office location, the technician's home location, or another starting point. The order of tasks can also be adjusted. The planner can choose for an efficient route or stick to a fixed order when customer appointments require it.
In the planning, travel time and distance can become visible as part of the day. The planner then sees not only the tasks themselves but also how much time is needed to drive from one location to another. A map view can be combined with a timeline, so that the geographical route and the planning are visible side by side.
Automatic route optimization is useful when multiple technicians visit different addresses in a day. The software can calculate many combinations faster than a person with a spreadsheet. However, a route planner is not a miracle solution.
If customer addresses are incorrect, task durations are too optimistic, or the required skills are lacking, even the best route planner cannot create a realistic plan. First, the basic data must be reliable. Only then can automation truly add value.
Werkbon software die verder gaat dan een digitale checklist
Good work order software helps the technician to perform and document the work on site. From the service order, he sees the customer, the address, the description of the problem, and the planned activities.
During the work, he can start the task, record time, add materials, take or upload photos, and fill out a worksheet or checklist. Technical documents and instructions can also be consulted from the order.
A worksheet is useful when tasks need to be performed in a fixed manner. During an installation, the technician can check whether all connections have been tested. During maintenance, he can record measurements, comments, and safety checks. During an inspection, he can indicate for each component whether it is in order.
The content of such a worksheet can be tailored to one's own working method. Think of fields for a serial number, measurement value, inspection result, or customer approval. The information can then be included in the service report or PDF report.
Photos thus get a fixed place in the file. This is useful in cases of damage, delivery, inspections, or tasks where the initial situation needs to be documented. The technician does not have to send various loose photos from his phone to the office afterwards.
After completion, the customer can digitally sign the report. Odoo can then automatically send the report to the customer. The customer does not necessarily need to create their own account for this. The result is a complete report of what has been carried out, which materials have been used, and which agreements may still be outstanding.
Registering materials, vehicles, and equipment
A technician regularly uses materials during a job. Think of cables, filters, fastening materials, parts, or replacement equipment. If these materials are not registered, the inventory will not be accurate, and the invoice is often compiled manually.
In Odoo, products can be added to the service order from a materials overview. With barcode functionality, this can also be done by scanning a product. This works faster and reduces the chance of selecting the wrong product.
For companies with multiple service vehicles, inventory per vehicle is important. The technician then has their own stock with them, while the planner or warehouse employee must be able to see what is still available. Odoo can link vehicles or vehicle warehouses to employees, making it clearer where materials are located and where inventory needs to be replenished.
This only works if employees also consistently register the inventory movements. An inventory per vehicle that exists only on paper is still not inventory management. It is primarily a well-intentioned estimate with a dashboard.
For organizations with many material flows, this connects to Odoo inventory management. Here, warehouses, deliveries, inventory locations, barcodes, and inventory movements come together.
Equipment and serial numbers at the customer
For many service companies, it is not only about the customer but also about the equipment that is at that customer. An installation company wants to know, for example, which boiler, machine, or control is present at a certain location.
Odoo can link serial numbers and batch numbers to a customer or location. The planner or technician then sees which equipment belongs to the assignment. The delivery date and previous interventions can also be used to better assess the situation.
This makes it easier to answer questions such as:
Which device is at this location?
When was it delivered?
Which previous assignments were linked to it?
Is the device possibly under warranty?
What technical documents are associated with it?
Which technician has worked on it before?
Technical documents can be opened directly from the assignment. The technician does not need to search through a general document folder first. Previous reports and comments also remain available for the next intervention.
A service report thus becomes more than a summary of worked hours. It also contains information about the device on which the work was performed. This is important for warranty, maintenance, safety, and the transfer between technicians.
From executed assignment to correct customer invoice
An external service assignment is only administratively completed when the invoicing is correct. The worked hours, used materials, and agreements made must be reflected in the correct customer invoice.
Odoo can link a service assignment to a sales order, sales order line, project, or task. When completing, worked hours, used materials, and any travel costs can be processed.
Depending on the setup, you can work with invoicing based on worked hours, fixed prices, used materials, pre-sold hours, additional quotes, warranty, or maintenance contracts. Fixed travel costs or invoicing by distance are also possible.
With invoicing by distance, the amount can be based on the distance between the technician's workplace and the customer address. For a distance of 110 kilometers, for example, 110 kilometers can be used as a billable amount.
The analytical distribution can be taken from the linked project. This keeps revenue, hours, and costs connected to the correct activity. You then gain insight not only into how many assignments have been completed but also into the margin per customer, project, or type of service.
The most important choice is not in the button you use to invoice. It lies in the agreements made beforehand. When is work billable? What is covered under warranty? When can a technician register additional work? Who checks the assignment before the customer invoice is sent?
Software can support these rules, but you must first determine them. The link with Odoo project management, timesheets, and invoicing helps to formalize these agreements in a process.
Automatically organize recurring maintenance
For maintenance companies, a one-time service assignment is often not enough. The real service consists of periodic visits. Think of annual maintenance, quarterly checks, or a contract that combines breakdowns and preventive maintenance.
Odoo can create recurring assignments from a subscription or maintenance contract. The duration, frequency, and planned hours can be included. The planner does not have to manually rebuild future visits each time.
If the subscription changes, the future planning can also be adjusted. If the contract is terminated or canceled, future assignments can be stopped or removed. This prevents technicians from being scheduled for a customer who has already terminated the contract.
In combination with serial numbers, an overview is created of which equipment is under contract, when maintenance is scheduled, which assignments have already been completed, and whether a device is under warranty.
This is especially interesting for companies that sell maintenance based on contracts. The service organization then works not only reactively but can also plan ahead and inform customers in a timely manner.
Customer communication and customer satisfaction
A customer wants to know what is happening. Odoo can support various communication moments. When publishing an assignment, a confirmation email can be automatically sent. With SMS, a customer can receive a message, for example, when an intervention is scheduled, the technician is on the way, or the appointment has been changed.
After completion, the service report can be automatically sent. The customer can digitally sign the report and then provide a review. These reviews can be used in reports on the performance of the service organization.
This provides a different insight than just the number of completed assignments. You also see how customers experience the service. A technician can deliver technically good work, while customers may still be dissatisfied with communication or arrival times. Both signals are relevant.
Odoo can also display a map with the current or most recent locations of field service employees. This can be useful when a planner wants to know which technician is near a new assignment.
These location data do require clear agreements. Employees need to know when location is used, why it happens, and who is allowed to view the data. Also, specify how long the data will be retained.
The map is also not a permanent traffic control center. The location is linked to the start and stop of work and to permission for location use. The display can be semi-live, which may require a refresh before the latest information becomes visible.
Three practical examples
An installation company receives a request via the website
A customer fills out a form because an installation needs to be replaced. The request comes in as an assignment without a fixed date. The planner checks the address, assesses the description, and looks at which technician has the right knowledge.
The assignment is scheduled. Odoo takes into account the existing route and the available time. On site, the technician records the hours worked, materials used, and photos of the installation. The customer signs the report. Afterwards, the hours and products can be invoiced according to the agreements made.
A technical service registers equipment and materials
A technical service maintains machines at various customers. Each machine has a serial number and its own maintenance history. The technician sees on his phone which equipment belongs to the location and which technical documents are available.
During the intervention, he scans the used parts, fills in measurements, and takes photos of the work performed. In the next assignment, it is immediately visible what has been done before. The administration no longer needs to reconstruct which parts and hours belonged to the assignment.
A maintenance company works with contracts
A maintenance company has contracts with different frequencies. Future visits are created from the subscriptions. The planner sees which assignments need to be carried out in the coming weeks and can adjust the routes accordingly.
When completing, the technician checks whether the work falls under the maintenance contract or under warranty. If a customer cancels the contract, future assignments are adjusted. This way, the planning remains aligned with the commercial reality.
What you should not expect from field service software
Odoo can automate a lot, but not everything will work out on its own. The quality of the planning depends on the quality of your data. If customer addresses are missing, task durations are unrealistic, or employees do not have the right skills, automatic planning will also make wrong choices.
It must also be clear who is responsible for the planning. A system can prepare tasks, but someone must determine which exceptions receive attention. An urgent malfunction, a long-term customer relationship, or a complex installation does not always fit into the theoretically most efficient route.
Ook locatiegegevens vragen aandacht. Zorg dat medewerkers weten wanneer locatie wordt gebruikt en waarom. Richt toegangsrechten goed in en voorkom dat iedereen alle informatie kan bekijken.
The same applies to inventory per vehicle. If technicians do not register used materials or do not process additions, the overview quickly becomes outdated. Then the inventory function mainly becomes a source of false certainty.
Begin ten slotte niet met alle functies tegelijk. Een goede start kan bestaan uit één duidelijke keten:
aanvraag → planning → uitvoering → klantakkoord → factuur.
After that, you can add route optimization, inventory per vehicle, maintenance contracts, and customer reviews. First, the basics must work. Only then does automation really have an effect.
Is Odoo suitable for your field service?
Odoo is especially interesting for companies where field service is linked to other business processes. Think of sales, helpdesk, projects, inventory, subscriptions, repairs, and invoicing.
If you only need a simple agenda to schedule a few appointments, a specialized planner may be sufficient. But as soon as you want to know which materials have been used, which hours have been worked, which device is at the customer, and what ultimately needs to be invoiced, the connection between the processes becomes important.
The most important question is therefore not whether Odoo has a map, planning, or digital work order. The better question is whether Odoo can support your entire service process without employees having to enter the same information in multiple places.
Daar ligt de waarde van Odoo voor de buitendienst. Niet in één losse functie, maar in het feit dat planning, uitvoering, klantinformatie, voorraad en administratie bij elkaar blijven.
A good field service solution does not start with the map, but with the process. If the foundation is correct, Odoo Field Service and field service management can help make the work more organized, better planned, and administratively more reliable.
