Within that structure, Chemtotal specializes in the production and distribution of cleaning products and related packaging materials. Its daily operations depend on close coordination between manufacturing, stock management, purchasing, sales and administration, making process consistency especially important in a business where manufacturing and distribution intersect throughout the flow from supply to delivery.
This implementation is also significant beyond Chemtotal itself. While the project scope focuses only on Chemtotal, it is positioned as an early step in a broader digital transformation across the group. The solution is therefore designed not only to support current business needs, but also to create a practical basis for future standardization. In that sense, Odoo becomes an integrated operating platform for Chemtotal and a meaningful starting point for a wider group journey.
Reason for change
Before the project, Chemtotal managed core activities through a combination of disconnected systems and manual processes. Manufacturing, inventory, sales and accounting were supported in different ways, which made daily work more fragmented than it needed to be. Information was not always available in one place, process steps depended heavily on manual follow-up and visibility across departments remained limited. This created inefficiencies, reduced transparency and increased the company’s reliance on workarounds instead of a structured process backbone.
The need for change grew from limited operational visibility and too much manual effort. At the same time, the company’s direction within the wider group added another reason to move. Chemtotal wanted to improve internal efficiency while also contributing to more standardized processes and better intercompany collaboration across entities. A new system had to support both aims: streamlining internal work and making it easier to align with a larger organizational structure. Odoo was selected as the foundation for further digital transformation across the group , with Chemtotal serving as the first concrete implementation in that path.
Challenge
The central challenge was to bring several business-critical processes together in one workable environment without losing sight of day-to-day practicality. Chemtotal operates across linked activities such as sales, deliveries, inventory movements, procurement, manufacturing and financial processing. When those processes are spread over separate tools, it takes more time to verify information, correct mistakes and maintain momentum between departments. The need was therefore not just automation in isolation, but one shared source of truth that could support decisions and execution across the business.
The solution also had to reflect Chemtotal’s specific context. The system needed to fit the operational and legal environment of Aruba, including accounting localization, and it had to support intercompany transactions and recurring accounting entries. Purchasing required practical improvements, and inventory needed a structure that would remain usable in real operations rather than only in theory. The challenge was to combine standard Odoo capabilities with targeted functional extensions so the final setup would truly match how Chemtotal works.
Odoo solution
Odoo was configured as one integrated environment connecting Chemtotal’s main business processes. The implementation included core setup work such as company configuration, language settings, portal setup, company information, document layouts and role-based user rights. These elements may seem foundational, but they are essential for creating a system that is both technically ready and practically usable. From that base, the project could move toward a connected process setup that supports multiple teams within one consistent framework.
In sales and relationship management, customer data and communication are centralized and linked to stock, deliveries, invoicing and payments. In finance, Odoo supports integrated transaction processing and reporting, including multi-company administration where needed. Supplier invoice handling is also prepared for further automation through OCR and AI, reducing manual entry and improving speed over time. For Chemtotal, the result is a system in which commercial, logistical and financial actions are tied together through one central platform instead of being scattered across separate tools.
Apps and processes
Chemtotal’s process design uses Odoo apps that directly support its operational core. In Sales and Accounting , quotations, orders, invoices, payments and reporting are connected in a single flow. Document handling is supported with Documents, Expenses and OCR-related functionality for supplier invoices. Purchasing and Inventory manage request, ordering and receipt processes, while an added solution helps split purchase order receipts by expected arrival date.
This improves control over incoming goods, stock availability and the administrative follow-up that depends on accurate timing. On the manufacturing side, Manufacturing and Quality support the planning and monitoring of production orders, the reservation of raw materials and visibility into progress and bottlenecks. HR support is intentionally compact, using Employees, Time Off and Knowledge to manage availability and centralize standard operating procedures. Specific additions also support Aruban accounting localization , showing AWG and USD on the POS screen and adding a freight forwarder address to purchase orders where relevant to the process design.
Result
With this implementation, Chemtotal gains a foundation for replacing fragmented ways of working with integrated processes. The expected improvements include better visibility across sales, inventory, purchasing, manufacturing and finance, less duplicate data entry and stronger alignment between operational and administrative activities. The setup also supports a clearer framework for intercompany cooperation and for managing multiple entities within one system. That should make it easier to steer the business based on more real-time visibility rather than reconstructing information after the fact.
The project also creates room for further professionalization within Chemtotal and, over time, within the wider group. Master data such as customers, suppliers, products, product categories, bills of materials, opening balances and opening inventory positions are prepared for import into Odoo, giving the company a structured starting point. Historical data is not part of this implementation phase, which keeps the transition manageable and focused. The result is therefore best understood as a scalable digital starting point on which future optimization and broader rollout can build.
