The public website highlights the guest experience, but behind that visible side there is also a structured retail and logistics operation. Products must be purchased, received, checked and distributed to the right stores. For a company working across several sales locations, process consistency matters just as much as customer service. This made it important to move toward one connected operating model in which sales, inventory and replenishment could work together more smoothly.
Reason for change
The immediate trigger for the project was the existing POS software. RedSail Sports Aruba was still using an outdated DOS-based solution that was no longer maintained. That created a clear risk for continuity, while also limiting the ability to modernize daily store operations. The business therefore needed to replace the legacy POS quickly with software that would be more sustainable and better aligned with current retail requirements.
The need for change extended beyond the checkout itself. The company already worked with a central warehouse model in which incoming goods were checked against purchase orders or delivery notes before being made available for retail. Stores then requested the items they needed for replenishment. Because those activities were closely linked, RedSail Sports Aruba wanted better system support across the full process rather than another isolated tool focused only on payment handling.
Challenge
A key challenge was the way retail logistics were already organized. Purchasing responsibilities were divided, but goods were delivered to one central point where receipts were verified and prepared for further distribution. The business also worked with product variants such as sizes and colors, as well as serial and/or lot numbers. This requires accurate stock control and a system that can support not only store sales, but also the product and warehouse structure behind them.
Store replenishment was another important area. Shops communicated what they needed, items were prepared at the retail office, transferred in the system and then physically delivered to the store. A signed list was used as confirmation and returned afterward. While that process functioned, it relied on several manual steps and checks. The challenge was therefore to manage internal transfers better without losing the practical logic that already existed in the business.
Odoo solution
The implementation approach focused first on the POS deployment so the outdated software could be replaced as soon as possible. Odoo provided a modern platform for store operations, while also creating a stronger link between front-end sales and back-office administration. Instead of keeping checkout activity separate, the project established POS and operations in one system , making it easier to manage products, transactions and supporting processes from a shared environment.
The solution was then broadened around that POS foundation. Odoo was set up to support the import of products, product categories, variants, customers, suppliers and opening stock. This meant the project was not only about a new cash register flow, but also about improving the structure of the underlying master data. Apps and processes
The main apps in this implementation are Sales, Point of Sale, Inventory and Purchase, supported by Invoicing, Contacts, Documents and Studio. Together, these applications cover the retail core: maintaining products, registering sales, processing receipts and supplying stores from the central warehouse. Odoo was configured for one central warehouse setup , including locations, internal transfers, stock counts and standard reporting to improve visibility across movements and availability.
The setup also supports important operational details. Product variants can be managed for attributes such as size and color, while serial and lot tracking can be used where traceability is required. Purchase orders may be created manually or based on stock rules, after which receipts are processed in Inventory. This creates end-to-end process support from purchasing and intake through internal distribution to final sale in the store, all within the same business environment.
Result
The clearest result is that RedSail Sports Aruba moves away from unsupported legacy POS software toward a modern Odoo platform. That gives the company a stronger basis for daily retail operations and for the related purchasing and stock processes around them. Sales, inventory and purchasing no longer need to stand apart, but can be managed from one central environment . This improves operational clarity and reduces dependence on disconnected routines and manual handovers.
