Tee Company N.V. runs multiple clothing stores in hotels in Aruba and needed to replace outdated POS software quickly. With Odoo, point of sale, inventory, purchasing and invoice processing were brought together in one practical retail setup. The project created stronger alignment between stores, warehouse operations and reporting, while leaving room for specific retail requirements.

Tee Company N.V. operates multiple clothing stores in hotels in Aruba. The business sells through physical stores only and works from a central retail structure in which products are purchased centrally, received into one warehouse and then replenished to the various store locations. That operating model requires a system that connects store transactions, stock movements and administrative follow-up without making daily retail work more complicated.

For the stores, speed at checkout, practical product search and consistent processing by location were essential. Because many products share very similar names, the new setup also had to remain intuitive for employees working on the shop floor. Tee Company’s context is therefore not only about sales, but also about reliable product handling and control over how goods move from central stock to each retail outlet.

Reason for change

The reason for change was straightforward: the existing cash register software was outdated, still based on a DOS environment and no longer maintained. This created a clear need to move quickly toward modern software that could support retail operations in a more reliable way. As a result, the first priority was replacing the POS system so store continuity would no longer depend on aging technology.

At the same time, the replacement created an opportunity to better align purchasing, inventory and incoming invoice processing with the way the company actually works. The previous situation offered little room for connected processes between warehouse and stores. With Odoo, Tee Company could move to one operational environment where retail, replenishment and administrative flows reinforce each other instead of running separately.

Challenge

The challenge was not only the urgency of replacing the old system, but also the specific retail reality behind it. Tee Company works with around 21,000 products, while product images were not available at that stage. Store employees therefore needed efficient search options, including item-number search, because many items have generic names such as shirt. That made ease of use at checkout a key requirement for the Odoo design.

There was also an important structural challenge in reporting. The stores represent separate entities, but Tee Company did not want a classic multi-company setup with separate accounting environments for each one. Instead, the business wanted one operating company with one accounting structure, while still being able to report per entity. That required a smart reporting design that could connect sales and expenses to the correct retail entity in a practical way.

Odoo solution

The selected approach focused first on the processes that mattered most to Tee Company: Point of Sale, Purchase, Inventory with scanning and Invoicing. Odoo was configured as a practical foundation for the retail organization, supporting daily work such as processing store sales, receiving goods, replenishing from the warehouse and handling vendor bills. This created a phased implementation path that addressed the most urgent operational needs without overcomplicating the first project stage.

For administrative processing, the solution used one company setup with one accounting structure, combined with analytic accounts to support reporting by retail entity. On top of that, specific custom work was included, such as an analytic account per POS. This matched Tee Company’s preference for operational simplicity while still enabling the accountant to prepare the required reports per entity. In this way, Odoo connected store operations and reporting inside one coherent model.

Apps and processes

In this implementation, the key apps are Sales, Point of Sale, Purchase, Inventory, Invoicing, Barcode, Documents and Contacts, supported where relevant by Studio and Internet of Things for the store setup. Point of Sale supports store transactions, daily closings, customer registration and loyalty cards. Inventory and Barcode support the central warehouse and replenishment to stores, while Purchase structures incoming goods from suppliers. Together, these apps form the operational retail chain from receipt to sale.

The setup also reflected concrete process choices and custom requirements from Tee Company’s retail practice. Examples include item-number search at the POS, reporting by brand, splitting purchase orders over multiple receipt dates and support for charge-on-room workflows with extra fields and reporting. The payment-terminal process also remained aligned with daily store reality. As a result, Odoo fits specific store procedures rather than forcing the business into a generic standard-only scenario.

Result

The realized result is, first of all, a modern platform that can replace the outdated POS software and support retail operations from one integrated environment. Tee Company now has a foundation in which sales, stock movements, purchasing and vendor bill processing are designed to work together. The reporting structure per entity was also built into the solution design. This delivers better operational alignment across warehouse, stores and administration.

The expected value over time lies in more manageable processes and a clearer information position for the business. Working from one system makes it easier to standardize daily actions, track replenishment and prepare reports by retail entity. At the same time, the setup leaves room for later extensions when the retail organization needs them. In that sense, Odoo supports Tee Company in further retail professionalization while staying close to the practical reality of store operations.
