In that setting, the company supports day-to-day commercial and operational activities that combine product sales, store processes and administrative follow-up. The public website presents an organization focused on quality, service and continuity, with a clear emphasis on professional execution and a solid operational foundation for the market it serves.

For this entity, the project focused on bringing together business processes that had previously been spread across different tools. It was not a narrow optimization of one department, but a connected setup for sales, point of sale, purchasing, inventory and finance. Because this is the second company in the wider group to move to Odoo, the implementation also fits a broader direction toward more centralized process control and information that is easier to manage across daily operations.

Reason for change

The need for change came from the fact that Total Quality Products worked with a mix of disconnected applications. Data had to be maintained in several places, and it was difficult to gain a current overview of transactions, stock positions and financial impact. When sales, inventory movements and accounting are not linked in one environment, delays appear, extra checks become necessary and teams spend more time on alignment through separate administrative steps instead of using a shared process flow.

The company also wanted stronger reporting and a solution that matches operational and fiscal requirements in Aruba. The move to a new system was therefore not only about modernization, but about practical fitness for daily work. Odoo needed to support local accounting needs, retail sales in two currencies at the point of sale and a purchasing flow that better reflects international supply arrangements . Together, those requirements shaped the direction of the project and the solution design.

Challenge

The central challenge was to combine different process areas into one workable system. Total Quality Products needed an environment where commercial transactions, stock movements, supplier flows and financial processing connect in a logical way. That requires more than standard setup alone, because each process affects the next one. A sale at the counter should immediately influence inventory and administration, while a purchase order must later flow correctly into receipt, availability and further handling inside an integrated operational chain .

At the same time, the project called for specific choices that fit the company’s daily reality. The accounting setup needed to reflect local requirements, while the POS experience had to support dual currency visibility on screen. Purchasing also required refinement, including support for international buying and the ability to receive goods based on different expected arrival dates. That mix of standard processes and focused extensions made it important to balance ease of use, control and scalability in a practical system design .

Odoo solution

The chosen solution brings Total Quality Products’ core processes together in one Odoo environment. Initial company settings, languages, user roles and document layouts provide the base, making the system ready not only functionally but also organizationally. From there, sales, point of sale, inventory, purchasing and accounting are configured so information no longer remains fragmented. The result is an environment in which departments work from the same source and transactions move more smoothly into the next steps of a central digital workspace .

Within that approach, standard Odoo functionality is combined with targeted additions. On the financial side, Aruba accounting localization helps the administration fit local requirements more closely. In the retail flow, a dedicated extension supports showing two currencies on the POS screen, improving clarity at the counter. In purchasing, additional support is included for freight forwarder addresses on purchase orders and for splitting incoming receipts by expected arrival date, which fits a more complex purchasing practice than a basic domestic flow.

Apps and processes

Across the commercial and operational flow, Sales, Point of Sale and Inventory play a central role. Customer data and sales activities are connected to product availability so orders and store transactions do not stand apart from stock management. The Point of Sale supports fast retail transactions and remains usable during a temporary internet interruption, after which data can synchronize again. That helps align front-counter sales, stock updates and administrative follow-up far better than a landscape of separate tools.

On the back office side, Purchase, Accounting and Documents support supplier invoice handling, stock receipts and financial registration. The setup also includes Employees, Time Off and Knowledge for staff involved in point-of-sale activity and for storing procedures in one place. Master data such as contacts, products, opening balances and opening inventory positions is migrated through import templates into the new environment. This creates a connected process landscape in which daily operational actions flow more directly into administration, reporting and managerial oversight.

Result

The main realized outcome of the project is a clear path toward one integrated environment for the company’s essential activities. Instead of isolated systems, Total Quality Products gains a setup in which sales, point of sale, purchasing, inventory and accounting are functionally linked. That creates a stronger basis for day-to-day collaboration, more consistent data and less duplicate work. It also reduces dependence on scattered information sources and manual checks between teams, supporting a more coherent way of working across the business.

The expected value then lies in faster visibility, better reporting and a process design that better matches both local and international realities. By combining local accounting logic, dual currency support at the POS and refinement in purchasing, Odoo is positioned to reflect how the company actually operates.
