Transolution B.V. is a logistics service provider that handles shipments to destinations including Suriname and Curaçao. Through air freight, sea freight and support with customs documentation, the company serves both business and private customers sending parcels, pallets and containers. In that role, control over every shipment is essential, from the first receipt in the Netherlands to the final handover at destination.
The operation involves several linked stages. Shipments arrive through agencies in the Netherlands, are stored in the warehouse, grouped for transport and then loaded into containers for international forwarding. At destination, they are received again, checked and released to the final recipient. For Transolution, the process therefore has to work well on the warehouse floor while also remaining clear for customers and partners who need reliable status information.
Reason for change
In the existing situation, Transolution used Magaya for warehouse receipts and the basic registration of incoming shipments. That setup supported the capture of sender and receiver details, quantities, weights and notes. In practice, however, it did not fully match the way the business wanted to operate, especially where scanning, practical warehouse control and consistent follow-up steps were becoming more important than basic intake registration alone.
At the same time, Scope was seen as a logical option for parts of the Dutch freight and customs landscape because of its chain integrations and customs strengths. According to the project analysis, it lacked the warehouse management layer that Transolution needs in daily operations. The company was therefore looking for a solution that could bridge both sides. The change was driven by the need for one scan-based end-to-end process linking warehouse work with the broader logistics context.
Challenge
The core challenge was to create a working method in which every shipment becomes fully traceable from the moment it enters the process. That requires one clear registration that can later be used without ambiguity for container loading, receipt in the destination country and final release to the end recipient. For Transolution, the process had to be practical, fast and reliable for users across different operational steps and locations. The requirement was not limited to track and trace.
Transolution also needed stronger proof of handling at each key moment. The business wanted to record where a parcel was received, through which agency it entered the flow, which dimensions and weights were captured and in which container it was shipped. At release, it also needed evidence of what was actually handed over. The challenge was therefore broader than replacing software: it was about a controlled logistics chain built around clear registrations and scan points.
Odoo solution
With Odoo, Transolution is implementing an integrated setup in which warehouse operations become the leading process. Goods receipt is adapted so that all relevant shipment data can be captured directly at intake. Each shipment receives a unique receipt number and barcode, allowing it to remain identifiable and scannable throughout the following steps. In this way, Odoo becomes one central operational record supporting the wider logistics flow from intake to release.
The configuration includes fields for destination, agency, agency code, who pays for shipment, parcel lines, internal notes and attachments such as photos or documents. Odoo also calculates volume and volumetric weight based on size and actual weight, helping the process reflect operational reality. By storing each receipt as a separately traceable object, the setup supports loading, receipt at destination and cargo release. Alongside that operational layer, the project also includes finance, customer management and platform configuration in the same environment.
Apps and processes
For the operational side, Transolution mainly uses Inventory, Barcode and Quality to support goods receipt, storage, scanning and checks. A warehouse list shows which shipments are in stock and can be filtered on relevant criteria such as destination. That list then forms the basis for preparing a loading list for transport. When building a container, tracking numbers are scanned to confirm that the correct shipments have actually been loaded into the outgoing movement.
CRM, Sales, Purchase and Accounting support the wider business process around those logistics steps. Contacts and opportunities are managed centrally, while accounting is structured to support multiple entities using the existing chart of accounts as a starting point. For receipt at destination, Odoo creates a follow-up movement so shipments can be scanned and checked again there. At final handover, the process supports proof of recipient receipt , including signing and the option to add a delivery photo to the release record.
Result
With this approach, Transolution is working toward a situation in which the system supports operations instead of slowing them down. The expected result is better visibility per shipment, fewer disconnected registrations and stronger alignment between intake, container building, destination receipt and final release. Because the same core registration is used throughout the chain, it becomes easier to answer questions from customers, partners and staff with one consistent source of information.
The project also creates a foundation for more consistent proof of handling and for future integration with external systems where relevant. The combination of scanning, unique parcel codes, container logic and financial support makes the operation easier to control and easier to scale. For Transolution, this means a step toward more grip on warehouse execution , with both practical day-to-day improvements and room for further refinement in later phases.
