VSH United Netherlands supports several group companies across the Netherlands, Suriname and the United States and needed one financial platform for the group. With Odoo, accounting, document handling, expenses and consolidation are brought together, while sales invoices from Center are imported through custom development. The result is a more connected setup for entities, processes and reporting, with room to expand the solution over time.

VSH United Netherlands B.V. is the Dutch holding within a broader group of companies operating across the Netherlands, Suriname and the United States. Public information about the group shows a business with a long history and activities in trading, logistics, foods, real estate and services. In that context, the Dutch entity supports several companies and needs clear oversight, aligned processes and reliable financial information. This makes a group-oriented financial setup especially important for the way the organization works.
The wider structure also includes logistics and technology-driven businesses. IFC Consolidators operates as a freight forwarder with warehouse capacity in Moerdijk, while VSH Tech develops logistics software for agency, forwarding and warehousing activities. There is also a US entity focused on cargo consolidation and logistics flows. For the holding company, that means finance cannot be organized in isolation per company only. It also needs to come together in one connected Odoo environment that supports both local administration and group-level visibility.
Reason for change
The project started from a clear business need created by the existing application landscape. IFC Consolidators was already working with its own operational system, called Center, developed by a subsidiary within the group. Accounting was handled in Unit4 Multivers. While that combination supported the current way of working, it did not provide the right basis for a future setup in which multiple companies would be managed in a more consistent financial structure. As a result, the organization looked for a new central accounting platform that would better fit its holding role.
The target situation was defined at a practical level: Odoo would become the new accounting system for seven companies. This was not only about replacing bookkeeping software. It was also about creating a stronger foundation for group reporting, document-driven processes and a more unified administrative model. At the same time, the company did not want to disrupt existing operational workflows unnecessarily. Sales invoices would still be created in Center, so the move required a careful transition between systems instead of a complete reset of the operational landscape.
Challenge
The main challenge was the combination of group complexity and the need for a pragmatic implementation. VSH United Netherlands was not dealing with one single administration, but with several legal entities, each requiring its own accounting setup while also fitting into a broader reporting structure. That demands a system in which companies can be managed independently where needed, while the holding can still maintain consistency, ownership logic and consolidated insight. In an international structure, consistent financial configuration is essential to avoid manual corrections and reporting differences.
A second challenge was the role of Center in the operational flow. Sales invoices continue to be generated there and had to end up in Odoo in a controlled way. In the previous situation, journal entries were exported in XML and imported into Multivers. For Odoo, however, a dedicated approach was needed for customer and invoice import. The project therefore had to balance standard Odoo accounting capabilities with specific custom invoice import , ensuring that the new solution remained manageable while still fitting the customer’s real process requirements.
Odoo solution
The chosen solution was an Odoo setup in which seven accounting entities are configured within one platform. These include VSH United Netherlands B.V., IFC Holding B.V., IFC Caribbean B.V., IFC Vastgoed B.V., VSH USA LLC, VSH Tech B.V. in the Netherlands and VSH Tech N.V. in Suriname. Bringing these companies into Odoo creates central financial control while leaving room for company-specific configuration where necessary. To establish the new environment, master data such as customers, vendors, other contacts, products and opening balances is imported into the system.
Alongside the standard setup, custom development is used for importing customers and sales invoices from Center. In Odoo Invoicing and the accounting flow, a dedicated import function is created where users can upload files containing customer information and invoice data. That allows Center to remain the operational source for invoicing, while Odoo takes over the financial processing and administration. This approach matches the customer’s goal of preserving proven operational routines while establishing a controlled transfer of financial data into a central environment.
Apps and processes
The implementation mainly focuses on apps that support finance, document management and internal administration. With Sales, Invoicing and Purchase, the financial backbone connects to commercial and administrative flows, while Documents supports the structured processing of vendor invoices. Expenses helps manage employee expense claims, and Employees supports employee records, including links with document storage. Together, these applications create connected administrative processes without forcing the organization to roll out every possible function at once.
For the holding company, Consolidation is also a key part of the solution. It makes it possible to define consolidation tables for general ledger accounts, map accounts across companies and produce consolidated reporting. The defined scope explicitly includes consolidated reporting for IFC Holding and VSH United Netherlands, with attention to the equity method, ownership and exchange rates for the US entity. In addition, Contacts, Calendar, Project, Discuss, Studio and Skills Management support a practical key-user operating model for configuration, maintenance and day-to-day use.
Result
The direct outcome of the project is an Odoo environment in which multiple group companies can be configured and managed financially within one platform. This gives the organization a stronger foundation than the earlier combination of an operational system and a separate accounting package. It also creates a more logical relationship between accounting, documents, expenses and employee-related administration. In day-to-day terms, this means more structure across the finance chain and a setup that better reflects the role of the holding company in an international group context.
The project also establishes a basis for further improvement at group level. By importing sales invoices from Center into Odoo, operational continuity is preserved while financial processing becomes more centralized and more consistent. With consolidation features in place, the holding gains a clearer route toward group reporting and comparability between entities. Some topics, such as broader HR processes, were explicitly considered for a later phase. As a result, the implementation is not only a workable solution today, but also a scalable foundation for future growth in the administrative landscape of VSH United Netherlands.
