Customer profile

VTE Europe manufactures components for power distribution, including terminal insulators, terminal busbars, power posts and related products. The company serves customers that expect strong standards in safety, quality and reliability, and it supports a wide product range with different applications and packaging situations. That makes internal coordination important, because technical products and daily operations are closely linked from quotation through delivery.

On its public website, VTE Europe presents itself as a manufacturer with more than thirty years of experience and a catalogue of over two thousand product lines. A business with that profile needs clear control over product data, customer communication, inventory levels and shipment handling. Because orders may involve full boxes or separately handled units, the company was looking for one connected operating model instead of fragmented steps across different processes.

Reason for change

In the previous setup, quotations were created as soon as an inquiry arrived, without a structured process for lead follow-up beforehand. That limited visibility into opportunities and made the commercial flow less consistent than desired. At the same time, sales decisions were closely tied to stock availability and operational execution, so the company needed a system that would support not only quotation creation but also the broader sequence around it. This created a clear need for better control in sales follow-up .

There were also practical reasons to improve the supporting processes around inventory, purchasing and logistics. Purchasing already depended on stock levels, but further automation was needed to manage replenishment more predictably. In addition, some important requirements were not available as standard functionality, including export documents and customer-specific product numbers on labels. For VTE Europe, the change was therefore not about a single department, but about aligning commercial and operational workflows in one environment.

Challenge

The main challenge was the interaction between flexibility and control. Sales needed enough room to handle different packaging options and customer scenarios, while warehouse execution had to stay clear, efficient and reliable. Full boxes reduce handling, but separate units require additional picking and labeling work. The project therefore had to support a commercially practical process without creating unnecessary complexity on the operational side, with fewer manual exceptions across day-to-day order handling.

VTE Europe also had several process-specific requirements that went beyond a basic implementation. Product labels needed the possibility to show customer product numbers, and the picking flow needed protection against accidental duplicate scans. Export-related documents were another gap in the standard flow. The challenge was to keep the solution manageable while still covering these operational details. That required a balanced setup with focused use of standard and custom work rather than broad customization everywhere.

Odoo solution

With Odoo, VTE Europe gains a central environment for sales, customer management, inventory, purchasing and financial administration. Instead of disconnected process steps, quotations, orders, deliveries and related information are linked within one system. The sales pipeline supports lead and opportunity follow-up, while real-time stock visibility helps teams make better decisions during order handling. This creates an integrated business flow in Odoo where commercial and operational teams can work from the same information.

The solution is not limited to standard activation of apps. Core settings, document layouts, user rights and language configuration are arranged to make the system practical for everyday use. Where standard Odoo does not fully cover VTE Europe’s way of working, targeted additions are introduced. These include support for customer item numbers on labels, templates for export documents and logic to prevent duplicate scans during picking. As a result, the project combines standard Odoo with precise enhancements where they matter most.

Apps and processes

The implementation brings several apps and process areas together. With Sales, Contacts and Discuss , VTE Europe can centralize customer data, quotations, opportunities and internal follow-up. Inventory, Purchase and Barcode support goods receipt, stock control, picking and shipping activities. Replenishment rules based on minimum and maximum stock levels help improve purchasing decisions, while GS1 barcode handling supports more consistent and lower-error registration of stock movements throughout the warehouse process.

Invoicing, Manufacturing, Studio, Internet of Things and Sendcloud Shipping support the wider process landscape around those core flows. Financial transactions connect more closely to operational activity, and documents and labels can be adapted to customer and export needs. Studio provides room to fine-tune screens and fields to match the daily way of working. Together, these tools help Odoo support not just isolated tasks, but the complete connection between purchasing, inventory and shipping and the commercial work that drives them.

Result

The immediate result of the project is a move toward one central way of working across sales, inventory, purchasing and logistics. Information no longer has to live in separate process islands, and teams can work with a more consistent view of customers, products and operational status. That creates a clearer daily workflow and reduces the dependence on manual coordination between departments. In practical terms, the implementation lays the foundation for more visibility and fewer errors across the business.

There are also clear target improvements built into the chosen setup. Automated replenishment should improve stock control, better labels and scan validation should reduce mistakes in warehouse execution, and export documentation should become easier to manage from the same environment. For VTE Europe, the value lies both in the current centralization of processes and in the expected operational gains over time. Odoo provides a scalable basis that fits VTE Europe’s day-to-day reality and can be refined further as needs evolve.
