Reason for change
Before the implementation, Windows4U used several separate applications. Teamleader supported CRM, project management and helpdesk processes, a custom application was used for field operations and Exact handled accounting. There were connections between these systems, but they were limited. As a result, information was not always available in the place where employees needed it, and teams had to work around gaps between tools.
This created an increasingly fragmented information flow in a business where timing and accuracy matter. The need for further automation made that landscape even harder to justify. As soon as new process areas such as inventory management came into view, the likely outcome would have been another standalone package with additional integrations to maintain. Windows4U wanted the opposite direction: fewer systems, fewer dependencies and more process coherence. That is why the company started looking for a single business platform that could replace disconnected tools with one integrated operational environment that would remain manageable as the business evolves.
Challenge

Part of the setup needed to support a practical way of managing materials bought in larger dimensions and then administratively brought into stock in smaller usable sizes. Field teams also needed work orders with time and material registration. Leads can be managed in CRM, quotations created in Sales and then continued as sales orders that flow into delivery, project execution or work orders. Helpdesk centralises service requests, while Field Service supports job instructions, employee planning and the registration of time and materials. Together, these apps connect advice, execution and after-sales support in a way that fits Windows4U’s project-driven operations.
On the logistics side, Inventory and Manufacturing are configured in a focused way. Inventory supports receipts, deliveries, internal transfers, returns, stock counts and warehouse structure. Manufacturing is used in a limited setup for bills of materials and production orders, mainly to administratively manage dismantling or processing steps related to dimensional changes. In addition, custom development is planned around a supplier API to update specific purchasing data. This helps Odoo match the reality of custom ordering workflows and supplier communication more closely.
