The company positions itself around authenticity, quality, sustainability and independent production methods. Alongside its own brand, production for other parties also plays a role in the wider business model. This means commercial coordination, production planning and stock control are closely linked in daily work. For an organization with premium product expectations , reliable information about ingredients, batches, finished goods and deliveries becomes an essential part of running the business well.
Reason for change
As Tolmanns continues to develop, the need for stronger control over logistics, manufacturing and administration became more urgent. These areas are deeply connected in a distillery: purchasing materials affects stock, stock drives production, and production influences delivery and reporting. The goal was therefore not simply to replace individual tools, but to move toward one connected operating environment where information is updated through the process itself rather than managed in separate steps.
This need was also reinforced by the importance of traceability and regulatory administration. Whether products are made for the company’s own brand or for private label customers, materials and finished goods must be followed accurately. On top of that, excise-related administration adds another layer of complexity. The change initiative was therefore driven by both efficiency and the need for greater operational control across activities that require precision and consistency.
Challenge
The main challenge was to connect different business flows inside one system without losing sight of the practical reality of the distillery. Purchasing raw materials, managing stock across locations, producing finished products from bills of materials, handling quality checks and shipping customer orders all have to fit together logically. That requires a setup where stock moves are generated from the right process and where traceability from material to bottle is available in a way that supports day-to-day work.
There were also several sector-specific considerations. Tolmanns needed support for excise reporting, international deliveries and the possibility of working across multiple entities in one environment. At the same time, the system had to remain usable for a compact team and avoid unnecessary complexity. Finding that balance between detailed process support, simplicity and future scalability became a key implementation consideration throughout the project design.
Odoo solution
Odoo was implemented as an integrated platform to bring Tolmanns’ core processes together. Purchasing, sales, inventory, manufacturing and administrative follow-up are handled within the same environment as much as possible, creating a more consistent flow of information across the business. Instead of managing each area in isolation, the distillery gains a structure where operations and administration stay aligned , helping teams work from the same process logic and the same underlying data.
The solution was tailored to the operational needs of a distillery. Inventory can be tracked in real time, products can be managed with lot or serial numbers, and manufacturing orders can be linked to recipes and bills of materials. Additional product fields and dashboard reporting support excise-related reporting requirements. This means Odoo is not only used to process transactions, but also to provide the information needed for clearer oversight and reporting as the company grows and processes become more demanding.
Apps and processes
Sales, CRM, Inventory, Purchase and Manufacturing form the operational core of the setup. CRM supports lead management, customer follow-up and coordination with partners, while Sales helps turn quotations into orders that can continue into warehouse or production activities. Inventory supports receipts, deliveries, internal transfers, returns, counts and location management across warehouses. Together these apps create a connected goods flow in which commercial commitments and physical stock movements are handled in one process landscape.
Quality, Documents, Invoicing, Contacts, Calendar and Knowledge provide supporting structure around the core flow. Quality is used for control points and quality alerts linked to stock and manufacturing operations. Documents helps organize process-driven document handling, while dashboards are used for excise reporting with additional product data fields. Import templates are also provided to support structured master data migration. Combined, these elements create a coherent process framework that supports both daily execution and the administrative side of the business.
Result
The immediate result of the project is an Odoo environment shaped around the working reality of Tolmanns Distillery. Processes that might otherwise remain fragmented are organized within one system structure, giving better visibility into stock, manufacturing, customer activity and administrative follow-up. The foundation for lot and serial tracking, quality checks and excise-related reporting is also included. This creates a stronger base for daily control than disconnected ways of working can offer.
The expected value extends further as the business develops. Odoo is designed to help Tolmanns improve planning of manufacturing capacity, support private label activities in a controlled way and simplify coordination between entities. International deliveries and related document flows can also be followed more consistently from the same environment.
